Event Services for Organizers

Planning an event? Make Event Services your FIRST call!
Organizers of local festivals, sporting events and other community events have "one window" for accessing City of Thunder Bay services. Contact Event Services at 625-2305 or pburke@thunderbay.ca for information on municipal requirements and services available from various departments.

Workshops & Networking for Event Organizers
Workshops and networking events are provided for event organizers on topics such as sponsorship, media relations, fund-raising and marketing. More Information on Upcoming Workshops

All of the above forms are to be submitted to Event Services once completed. Applications should be submitted at least 8 weeks prior to the event.  

Food Handling

Equipment
Event organizers can access various equipment items (i.e. sound system, walkie-talkie radios, flags, megaphones) at no charge from the City of Thunder Bay Recreation & Culture Division. Contact Event Services to reserve items.

City of Thunder Bay Grant Funding
The Event Development Grant provides seed funding for groups hosting championships, first-time tournaments and festivals. Bidding expenses are also eligible. The Street Event Grant assists community groups staging sport tourism events taking place on City streets. Contact Event Services to ensure your group's eligibility or to answer any questions.

Event Calendar
List your event in the City's comprehensive listing of sports championships, festivals and other major events that appears on the Event Calendar page. Choose 'Post an Event' from the menu on the left. Selected events also appear in other publications.

Consultation
Recreation & Culture Division staff advise groups on various aspects of event planning and bid preparation.

Information Packages for Visitors
For welcome bags from Tourism Thunder Bay call 625-2305. You will need to book in advance.

Tourism Newsletter
Tourism Thunder Bay publishes an e-newsletter for potential tourists on the 1st of every month. To include info about your event in the newsletter, email details to ebrewer@thunderbay.ca by the 15th of the month prior to publication. To view the newsletter, go to www.thunderbay.ca/visiting/newsletter where you can also sign up to receive the newsletter. There is no cost to submit. The Newsletter includes events, promotions, new initiatives and product offerings that your organization or business might offer a potential visitor. Submissions can be e-mailed or faxed to:

Submissions should include name, description of event or promotion, dates, locations, contact information including a website, email address, or phone number if available. Tourism Thunder Bay reserves the right to void or edit submissions if required.

Assistance with Bids for Championships
Considering a bid for a provincial, national or world championship? Call John Cameron at 625-3231 for information on how Tourism Thunder Bay can assist.

'Sports Central' Display Units
Three "pull-up" City of Thunder Bay display units featuring the 'Sports Central' theme are available for use at presentations, media conferences and indoor events. To reserve, call 625-2149. 

Recycling Bins
The City of Thunder Bay, through Recool Canada Inc. will provide events with a portable recycling depot trailer or bins (4 foot square). A total of 10 bins are available at no charge. Contact Recool Canada Inc. at 577- 0411 to reserve the trailer and/or bins a minimum of two weeks in advance.

Bus Service
Thunder Bay Transit offers bus charters/tours within the City of Thunder Bay for groups and special events. The rate is $85 per hour for a minimum of 3 hours. It is recommended to make arrangements at least one month in advance.
Stage Cover Tents
The City has stage cover tents that can be rented. For information on fees and availability please call 625-2305.

Invite the Mayor to Your Event
To invite Mayor Keith Hobbs to your event use this easy online "Invite the Mayor" request form. 

City of Thunder Bay Souvenirs
City of Thunder Bay souvenirs are available for purchase at the Office of the City Clerk (3rd Floor - City Hall). Items include: lapel pins, mugs, flags and stickers. Please note: City plates are a presentation item to mark significant milestones and are not available for purchase. Contact the Office of the City Clerk at 625-2230 for more details.
