Convention Incentive and Rebate Program

Meeting/Conference/Convention

This grant program can only be applied to meetings, conferences, and conventions that are sourced through Tourism Thunder Bay and/or Thunder Bay Convention Hotels.


HOW TO APPLY FOR FUNDING

ELIGIBLE RECIPIENTS

  • Organizations, associations, businesses that host meetings/conventions in a Thunder Bay facility.
  • Request must be made at least 4 months prior to the event through Tourism Thunder Bay.
  • Events that are new or annual may apply.

ELIGIBLE FUNDING

  • Funding is for out of city delegates only and will receive $5. per delegate to a maximum of $1500.
  • Minimum two night stay in hotel/motel per delegate is required.
  • Must have a minimum of 50 out of city delegates attending event.

ELIGIBLE CONTRIBUTIONS

Funding can be applied to the following expenses directly related to the conference operations

  • Shuttle bussing
  • Event A/V costs
  • Speaker Costs
  • Coffee breaks, breakfasts or luncheons

INELIGIBLE CONTRIBUTIONS

  • Alcoholic beverages
  • Salaries and wages

ALLOCATION PROCESS

  • Hotels will initiate the conversation with the client and advise them of the rebate program.
  • Client will contact Tourism Thunder Bay to formally apply for funding.
  • Tourism Thunder Bay communicates with the hotel on event booked and number of consumed rooms.
  • Upon receiving requested documentation from the client, Tourism Thunder Bay issues the eligible grant amount to the client post event.

REPORTING

Planners/Organizers MUST provide (post event) a report that provides the following information

  • Copy of the Conference Agenda.
  • Must provide total number of delegates who attended event.
  • Must provide a list of all out of city attendees, including first and last names; full addresses, city/prov./state.
  • Length of stay in hotel for each out of city delegate.
